AdOps Naming Conventions, Deadlines and Procedures for submitting
Digital Insertion Orders and Creatives

  • Always include [email protected] on replies and make sure Insertion Orders and/or creatives are attached.
  • Always hit “reply-all” on emails
  • At the start of a campaign, an Insertion Order must be sent. The creative(s) for the campaign should be sent at least 48 hours before start date
  • If the Insertion Order was previously sent and the campaign has already started, then just creative changes can be sent. Make sure to include start/end dates of the creative and the click through.
  • If dates, targeting, sizes OR impressions are changing, then a REVISED Insertion Order must be sent with the changes highlighted

Expandables Calendar

  • Make sure sold expandables are entered onto the shared Google Calendar or let us know if one needs to be added or changed.
  • We cannot book an expandable into DFP without an Insertion Order.
  • If an expandable date is changed, you must let AdOps know AND send a REVISED Insertion Order. Otherwise, the original date will still be booked in DFP.
  • The calendar is to let other reps know about sold expandables. Only a booked Insertion Order by Adops in DFP reserves the campaign.
  • When an expandable is marked BLUE, it means we have the creative and the line item is ready to deliver. If it is not BLUE, that means we don’t have the creative.

 

When emailing AdOps Insertion Orders and Creatives, use these naming conventions:

EMAIL SUBJECT: Every subject line should include 3 things:
The Property, The date it is to start, details of the request.

For example:

RH 8/27 billboard for Schaeffer’s Harley-Davidson OR

TT 9/2 creative change for Constantino’s

 

DEADLINES: The adops deadline is 48 hours or 2 full business days. So if you submit a creative change or a new order on a Friday, the start date for that creative or order should be the following Wednesday. However, if a request is submitted before Noon, we can count that day as the first full day. So now if you submit a creative change or a new order on a Friday at 9:30 am it can have a start date of Tuesday.

 

URGENT and LATE: The words “URGENT” and “LATE” can be added to the beginning of an email subject if the request needs to be processed before the 48 hour deadline.

 

URGENTshould ONLY be used for requests that need immediate response, such as, wrong expandable running, ad linking to an incorrect URL, Screenshot if it is only running one day etc.

 

LATE: should be used when it is critical for a sale that an order starts or creative is changed before the 48 hour deadline.

 

PLEASE– only use URGENT and LATE when absolutely necessary and try to keep track of when creative changes will be needed so you can send them in before deadline.

 

Adops Workflow:  Adops will address URGENTS first and LATES second. We will then work from the bottom up entering orders in the order in which they were received regardless of the start date. However, at times of very high volume we will work off of the start dates.  So Please, if you have access, add your sold expandables to the Expandable Calendar once you send in the IO.
